Vista Verde HOA — Detailed Review Guide (first-time reviewer)

1. What you're about to do
You are going to log into a working demo copy of MemberVu that has been set up and "frozen" for a fictional homeowners association called Vista Verde HOA. Your job is to click through five short checks, compare what you see on screen against a table of expected values in this guide, and mark each check as PASS or FAIL. You are not going to change any settings, create any records, or fix anything you find wrong. You are simply confirming that the demo looks and behaves the way it is supposed to.
By the end you will have a clear PASS/FAIL verdict for this tenant that tells the team whether it's safe to show to a real prospective client.
2. What is MemberVu, and what is Vista Verde?
MemberVu is a web application that membership-based organizations use to run their day-to-day operations: keeping track of who their members are, collecting yearly or monthly dues, running events like meetings and seminars, and taking payments online. Think of it as an all-in-one back office for a club or association.
MemberVu is multi-tenant, which means one piece of software serves many different organizations, and each organization ("tenant") gets what looks like its own private, branded website. The organization you are reviewing today is Vista Verde Homeowners Association, Inc. — a fictional homeowners association (HOA) that represents a residential subdivision. Inside the product, this organization is labeled "Association" rather than "Club" or "Chamber."
The sales story for this tenant is different from a typical club: at an HOA, every home in the community must belong, membership is not optional the way it is at a hobby club. A volunteer treasurer's main job is tracking which homeowners have paid their yearly community fee. Vista Verde also uses its own vocabulary inside the product — a gathering of homeowners is called a "community meeting" (not "event"), and the yearly community fee is called an "assessment" (not "dues"). Keep those two words in mind as you click through — they describe the exact same underlying MemberVu features you'd see at any other tenant, just relabeled to fit how an HOA actually talks.
3. Words you'll see (plain-language glossary)

| Payment | A record of money actually received against an invoice. One invoice can have one or more payments applied to it. |
| "Simulated" payment | A payment method label meaning the payment was recorded through the demo's test payment flow rather than a real credit card or bank transfer — this is expected and normal in this demo, not an error. |
| Allocation | How a received payment is applied ("allocated") to a specific invoice, so the system knows that invoice is now paid. |
| Community meeting | Vista Verde's word for an event — a gathering the Association organizes, such as its Annual General Meeting, with its own date, venue, and ticket price (which can be free). |
| Check-in | The act of marking that a homeowner who registered for a community meeting actually showed up. |
| Admin | A staff user account with full access to manage members, community meetings, and billing for the Association. |
| Member status (Active/Expiring soon/Expired) | Shows where a homeowner stands relative to their assessment renewal date — Active means current, Expiring soon means renewal is coming up, Expired means renewal has already passed. |
4. The rules of this review
Demo123!.A few more things to keep in mind:
- This is a point-in-time snapshot. Expiry dates you see are relative to a "freeze date" recorded in
00-snapshot.md, not to today's real-world date. - If you are reviewing this more than about a month after the freeze date, the two members who were set up as "expiring soon" will now look like additional expired members — this is expected data aging, not a bug.
- The login rate limit allows roughly 30 attempts per 15 minutes, shared across everyone on your network. If you see a "too many attempts" or "429" message, stop and wait 15 minutes rather than retrying immediately.
5. Step 1 — Open the demo and sign in
- Open your web browser and go to
http://vistaverde.membervu.local:8090(or, if you're reviewing the cloud version,vistaverde.demo.membervu.com). - You should land on a login page branded for Vista Verde HOA — look for the Association's name or logo on the page so you know you're on the right tenant.
- Enter the email
admin@vistaverde.demoand the passwordDemo123!. - Click the login/sign-in button.
- What you should see: an admin dashboard themed for the Association, with navigation options for things like Members, Events (or "Community Meetings"), and Billing.
- Repeat steps 3-5 with
treasurer@vistaverde.demoand thenevents@vistaverde.demo, each with the same password, to confirm all three staff logins work. Log out between each one using the logout option in the dashboard menu.
6. Step 2 — Check the membership tiers
- While logged in as
admin@vistaverde.demo, find the admin navigation menu (usually a sidebar or top menu). - Go to Admin → Membership Types (or a similarly named "Membership" or "Membership Types" section).
- You should see a list of exactly two membership tiers belonging to Vista Verde.

Standard Unit should be marked as the default tier — it represents a standard residential unit, the most common home type in the community.
PASS if exactly these two tiers appear with these exact amounts and an annual (yearly) billing period. FAIL if a tier is missing, a third tier appears, an amount doesn't match, or the billing period says monthly or something other than yearly.
If something looks wrong here, take a screenshot of the Membership Types screen before moving to the next step.
7. Step 3 — Check the members list
- From the admin navigation, go to Admin → Members.
- You should see a list of homeowners belonging to Vista Verde, each with a status badge such as Active, Expiring soon, or Expired.
- Look specifically for at least one member whose status is "Expiring soon" and one whose status is "Expired" — this mirrors the real-world reminder work a volunteer treasurer does each year to chase down unpaid assessments.

PASS if you can see a mix of statuses matching this pattern, with at least one clearly flagged as expiring soon and one as expired. FAIL if every member shows the same status, if the expiring-soon or expired members are missing, or if the numbers are wildly different from this pattern.
8. Step 4 — Check the past community meeting (the free AGM)
- From the admin navigation, go to Admin → Events (the section may be labeled "Events" in the product even though Vista Verde's staff call this a "community meeting" in conversation — that's expected wording drift, not a bug, if you see it).
- Find and open the meeting named "Annual General Meeting 2025", held at the Clubhouse.
- Check its details: location, status, ticket price, and attendance.

PASS if the meeting shows as Completed at the Clubhouse with a ₱0/Free ticket price, 6 people checked in, and no payment records (which is correct for a free meeting). FAIL if the meeting is missing, shows the wrong status, a non-zero price, a different check-in count, or if the screen displays a blank/broken price field instead of a clean ₱0 or "Free" label.
9. Step 5 — Check the paid assessment invoice
- From the admin navigation, go to Admin → Billing → Invoices (the section may simply be called "Billing" or "Invoices").
- Find the invoice titled "2025 Annual Assessment — Standard Unit".
- Open it and confirm its amount and status, then look for the payment record linked to it.

PASS if the invoice shows ₱24,000, status Paid, and a matching ₱24,000 payment record with method "Simulated." FAIL if the amounts don't match, the status isn't Paid, or there is no linked payment at all.
10. Things that look wrong but are correct
- The Annual General Meeting is FREE (₱0), so it has no payment records at all — that is correct behavior for a free meeting, not a data gap. Don't flag "no payments found" as a FAIL when you're looking at the AGM specifically.
- Vista Verde's staff talk about "community meetings" and "assessments," but you may still see the product's screens labeled generically as "Events" and "Dues" in a few places — that's expected wording drift between the sales pitch and the underlying software, not a defect. Note it if you see it, but do not fail the tenant over it.
- Some other tenants in this demo set use monthly pricing instead of annual, and one tenant has a "gift" line item that is really a disguised dues charge — neither applies to Vista Verde directly, but keep an open mind about naming if you review other tenants.
11. Finishing — record your verdict
Once you've completed Steps 1 through 5, open the tracker at tester-files/04_TRACKERS/DEMO_REVIEW_TRACKER.md and record your result for the Vista Verde HOA tenant.
- Mark GO if every step in this guide passed — the tenant is safe to demo to a prospective client.
- Mark NO-GO if any single step failed — the tenant needs attention before it can be shown, and your notes (including any screenshots) should describe exactly what you saw.
There is no partial credit — one FAIL means the overall tenant verdict is NO-GO.
